Xero Review (2026): Pricing, Plans and Who It’s Really For

The short version

Xero is the strongest alternative to QuickBooks Online. Every plan includes unlimited users, the interface is clean, and the top plan handles multiple currencies well. It costs less than QuickBooks at every level. The trade-offs: the cheapest plan is too limited for most businesses, and fewer US accountants work in Xero day to day.

  • Best for: teams where several people need access, businesses with overseas customers or suppliers, owners who want a simpler interface.
  • Skip it if: your accountant works only in QuickBooks, you need detailed job costing on a budget, or you want payroll from the same company.
  • Price: $27 to $97 a month at list price.

What it costs in 2026

These are US list prices as of October 2026. Xero often runs a steep discount for new customers, recently 90% off for the first six months. After that you pay the list price, so budget for it.

Two add-ons to know about. Payroll runs through Gusto at $36 a month plus $6 per employee or contractor. Inventory Plus, Xero’s inventory tool, is an optional paid add-on on Growing and Established.

Which plan should you pick?

  • Early only works if you send fewer than 20 invoices and enter fewer than 5 bills a month. That’s a side business or a very new company.
  • Growing is the realistic starting point for most small businesses. No transaction caps, and the whole team can log in.
  • Established is worth it if you bill or pay in other currencies, need to track profit by project, or reimburse staff expenses.

What Xero does well

Unlimited users on every plan

This is Xero’s clearest advantage. Your bookkeeper, your office manager and your business partner can all have their own login without moving you up a plan. With QuickBooks, a five-person team needs the $140 Plus plan for the seats alone.

Multi-currency that works

On Established, you can invoice, pay bills and hold bank accounts in other currencies, with exchange rates updated automatically and gains and losses calculated for you. Xero is used in more than 180 countries, and it shows in how well it handles international work.

A clean, readable interface

The dashboard shows bank balances, money owed to you and bills coming due. Bank reconciliation is a simple match-and-confirm screen. Owners who aren’t accountants tend to find Xero easier to learn than QuickBooks.

Lower price

Growing at $59 covers what most small businesses need. The closest QuickBooks equivalent with enough users costs $85 to $140.

Where it falls short

The entry plan is very limited

Twenty invoices and five bills a month runs out fast. Most businesses that start on Early move to Growing within a few months, so compare prices from $59, not $27.

Fewer US accountants use it

Many US firms support Xero, but QuickBooks is still the default. If your accountant isn’t fluent in Xero, you may pay for their learning time. Ask before you switch.

Key features cost extra or sit on the top plan

Projects and multi-currency are Established-only. Inventory beyond the basics is a paid add-on. Payroll comes through Gusto rather than Xero itself. Add these up before you compare totals.

US sales tax takes more setup

Xero handles US sales tax, but QuickBooks does it with less work for a business selling taxable goods across several states. If sales tax is a big part of your month, test it during the trial.

How it compares

  • QuickBooks Online: more US accountants, stronger job costing and built-in payroll, but pricier and capped on users. Read our QuickBooks Online review or the full QuickBooks vs Xero comparison.
  • Zoho Books: cheaper, with inventory and multi-currency on its $40 Professional plan.
  • FreshBooks: simpler for freelancers who mostly invoice clients.

The bottom line

Xero is a strong choice when more than a couple of people need access to the books, or when you do business in more than one currency. Plan on the Growing plan as your real starting price, and check with your accountant before you commit. If your accountant lives in QuickBooks, or you need detailed job costing, QuickBooks Online is likely the better fit.
